What to Expect from Smile’s 7-Step Hiring Process

You’ve found an open position on the Smile website that matches what you’re looking for in your next career move—we can’t wait to see your resume! We are very proud of our hiring process at Smile, mainly for two reasons: it’s personalized and transparent. Every resume that comes in is reviewed by a real-life human, and we try our best to make sure candidates know what to expect. 

We want to give you a little bit of insight into what you can expect in each step of Smile’s hiring process if you move forward. We hope this gives you an idea of  what to expect over the coming weeks, and allows you a better understanding of how Smile operates as a company, including our approach and values. 

We strongly believe the hiring process should be about finding a good match, not just for Smile, but for you as well, which is why we want to be open and transparent about our process and approach right from the beginning. 

Why do we hire the way that we do?

Our hiring process has been through several iterations over the years. We’re always looking to improve our processes, and hiring the right people is important to the success of our close-knit, geographically diverse team.

The hiring process is designed to be as collaborative as possible, focusing on allowing you to discover more about Smile as a company, and determine if we’re the best fit for your next career move, while we figure out if you’re the best fit for our open role. One of the ways we hope that you can learn about us is by mirroring our hiring process with the way that we work: remotely, and often asynchronously, but with meetings we need to attend to collaborate with others.

Smile’s Hiring Process

Stage 1. Candidate Application

We want this to be as easy as possible, so at this stage, candidates submit:

  • Resume: so we can get a better idea of your experience and background
  • Pronouns: so we can respect your identity 
  • An optional cover letter: in case you want to provide additional details 
  • Which of Smile tools you’ve used (if any): this doesn’t disqualify you—we just want to know! 

Smile’s recruiter reviews each application. If an application looks as though it may be a good match, the candidate moves to the next stage.

Stage 2. Questionnaire

Candidates who appear to match our requirements in Stage 1 will then be asked to complete a questionnaire. At Smile, we set our own working hours and schedules, which is why this step is designed to mirror this asynchronous workstyle: you can complete it at a time that works for you as long as it fits into our time frame. We usually ask that you return it within 7 days.

Smile’s recruiter then reviews each questionnaire and, along with the details supplied in Stage 1, meets with the hiring manager to discuss which candidates are best suited to move forward to the first interview.

Stage 3. Work Experience Interview

It’s time to talk! Much like our work style, we follow up our asynchronous work with video meetings to create better connections. In this interview, candidates virtually meet with Smile’s recruiter to discuss previous work experiences and relevant skills. 

The best-matched candidates move onto the next stage.

Stage 4. The Reverse Interview

Now it’s your turn to interview us. We want our candidates to learn about Smile’s company culture and values, so at this stage candidates meet with members of the Smile team to ask their own questions to determine whether Smile is a good fit for them. This is an opportunity to get insight into how we work together, specifics about the job, what it’s like to work with the manager—whatever it is that will help you make the most informed decision for you. 

If you’ve made it to the reverse interview, we’re giving you an opportunity to also choose us prior to finishing the rest of our process. If things still seem like a match for you after this step, we’ll send you the project. 

Stage 5. Project

We love to see skills in action. Candidates who reach this stage will be given a project relating to the role. This is your chance to show Smile what you can do. Self-direction is important to Smile, so setting a project and leaving you to it means we can see how well you work with a remote project.

Stage 6. Values interview

Smile’s values are an integral part of Smile’s company culture, and one of the most important things we look for when hiring. Let’s be clear: we’re not looking specifically for a “culture” fit, because we’re always looking to add to our culture with people from diverse backgrounds and experiences. We’re looking for someone who aligns with our values and will bring them to every aspect of their position.

At this interview stage, candidates will meet for an hour with members of the Smile team to walk through Smile’s values. We’ll discuss why Smile chose these values to represent the team and talk about how they align with how you work. You can expect behavioral-style interview questions throughout this conversation (for examples, check out the STAR or CARL interview response methods). We’ll also have a quick chat about your experience with the project and any outstanding questions that remain.

Stage 7. Offer and Onboarding

Congratulations! When both sides align with wanting to move forward, we’ll send an offer, and when accepted the successful candidate will be brought onto the team and onboarded. We have more information on onboarding in our post, What to Expect in Your First 30 Days at Smile.
